The problem

Hospital deals are not lost in the committee. They are lost in the eleven months before it.

A healthcare sales cycle runs through clinicians, procurement, IT security, finance and a value committee that meets twice a year. Each one asks a question by email. The one that was never answered is the reason the deal slipped to the next budget cycle, and it was visible in the thread months before the forecast moved.

The questionnaire with three open questions

IT security returned the questionnaire with three items marked "clarify". It sits in message 19 of 44, addressed to a colleague who has since changed roles. Procurement will not table the deal until it is closed, and nobody owns it.

The clinical champion who went quiet

The department head loved the pilot. Then the pilot ended, the data went to the committee, and the thread went silent. The CRM says "committee review". The thread says the champion asked for a cost-per-case figure and got a brochure.

The renewal procurement is already re-tendering

The service contract renews in two months. The account manager has a good relationship with the clinical lead. Procurement, who is not on that thread, asked three vendors for uptime figures last month. Yours was the one that answered late.

The AI tool privacy said no to

Every conversation-intelligence product your team evaluated sends correspondence to a shared cloud model. Your mailboxes talk to hospitals, and your privacy officer would not sign it off. So the team went back to pipeline reviews built on stage and gut.

What the account manager gets

The thread, read the way your best key-account director would read it.

Clossara reads each account's full email history against your pipeline and writes a short diagnosis. Every line points at the message it came from. What the model cannot support, it does not show.

Diagnose

Why is this deal slipping? The root cause and the signals behind it: a questionnaire item left open, a cost figure never sent, a single clinical contact with nobody in procurement, a buyer who went quiet after the quote, each cited to the message.

live every claim cited

Forecast

Will it close this budget cycle, and how confident is that, from the conversation rather than the pipeline stage. A thread with too little signal says so instead of guessing.

live with a stated confidence

Draft, for review

A reply that answers what procurement or the clinical lead actually asked, in your house tone. Any price, uptime figure or delivery date that is not in the thread or your documents is flagged before it becomes a promise. You review and send from your own mailbox.

How it works

Connected in an afternoon. No change to how the team sells.

STEP 1

Connect, read-only

Google Workspace or Microsoft 365 sales mailboxes with read-only permission, and your CRM. No mailbox yet? Import threads as .eml files and start with closed deals.

STEP 2

Redact

Names, addresses and identifiers are replaced by labels before any text reaches the model. The Portal puts the names back for your team; the model never holds them.

STEP 3

Read and rank

Clossara's own model reads every thread against the pipeline and writes the diagnosis, the forecast and the drafts. It reads your data; it never trains on it.

STEP 4

Work the board

Account managers open the Deal Health board and see which tenders and renewals are at risk, why, and what to send. New conversations are read as they arrive.

Built for a privacy review

What your review will ask, and the answer.

These are the questions privacy, IT-security and procurement reviewers have asked us. The answers are what is in place, not a roadmap, including the one that says no.

Your requirementHow Clossara meets it
Scope: commercial mail onlyClossara is built for the sales and account-management mailboxes that talk to procurement, IT and clinical leads. It is not a tool for clinical correspondence or patient records, and you choose which mailboxes are in scope.
Patient dataIf a connected thread happens to carry a patient's details, names, addresses and identifiers are replaced by labels before any text reaches the model, and the model stores nothing. We do not sign a HIPAA business associate agreement today, and we say so rather than imply otherwise. Keep clinical mailboxes out of scope.
Data stays in our jurisdictionThe Portal and a dedicated instance are hosted in the EU. For a team that may not use a cloud service at all, the Clossara Box runs the whole product on your own network.
No correspondence to a third-party AIClossara's own model, no third-party LLM at runtime. In the cloud it runs on servers Clossara operates and sees redacted text only; on the box it runs on your hardware.
No use of our data for trainingNever. Not in the cloud, not on the box. The model is trained on Clossara's own development data and ships as a gated release; it reads your threads, it does not learn from them.
Can we check what it says?Every finding cites the message it came from; a finding without a citation is not shown. Each release is measured on a fixed held-out set and the report is available to your reviewers.
Least privilege on mailboxesRead-only mailbox permissions (Gmail gmail.readonly, Microsoft 365 Mail.Read). Clossara cannot send, delete or modify mail. Drafts are copied and sent by a person.
Access control and auditEnterprise adds audit logging and an SLA; SSO and SCIM are coming soon. Every stored analysis is traceable to the thread and the release that produced it.
Security questionnaires and DPAWe complete your questionnaire as part of the review and provide the DPA and subprocessor list. Independent certification is in progress; ask for the current status.

Details, data flows and retention are on the security page. Nothing here is specific to healthcare regulation; it is what the product does.

Measured

A number you can put in the vendor file.

Every release is judged on 176 held-out sales threads it has never seen, finding by finding, against the full conversation. The current release:

86%

of the findings an account manager sees were judged true against the thread. What the model cannot support, it hides.

100%

of citations point at a real message. The reviewer can open the message behind every claim.

0

invented numbers in the gated release. A price, uptime figure or date not found in the thread or your documents is flagged for review.

November 2026 release. The four-page evaluation report is sent with every briefing.

Three ways to run it

From one key-account team to the whole region.

Portal, per seat

For a territory team or a product line that wants to start this quarter. Hosted in the EU, redacted before the model, per seat and per month. Import last year's tenders as .eml files and check the model against what happened before anyone connects a mailbox.

Dedicated instance, or the Clossara Box

For a manufacturer or a group with its own review. Enterprise gives you an isolated application and database in the EU with audit logging and an SLA. The Box puts the whole product, model included, on your own network with no outbound connection.

  • Dedicated success manager, custom integrations and API
  • Nothing leaves the building on the Box, ever
  • Add boxes as the team grows

FAQ

What healthcare sales leaders ask first.

Is this for hospitals, or for the companies selling to them?

For the companies selling to them: device and equipment makers, health IT and software vendors, diagnostics and lab suppliers, pharma services, healthcare services. The buyer on the other side of the thread is a hospital, clinic, lab, group or payer. A provider with a commercial team selling to employers or insurers can use it the same way.

Does it handle patient data?

It is not built for it, and we do not sign a HIPAA business associate agreement today. Connect the commercial mailboxes, not clinical ones. If a connected thread happens to carry patient details, they are redacted like all other personal data before the model reads the text, and the model stores nothing. We would rather say this plainly than let you find out in a review.

Does the model learn from our correspondence?

No. Clossara's model is trained on Clossara's own development data and shipped as a gated release. It reads your threads; it never trains on them, in the cloud or on the box. That is in the terms, not only on this page.

Does it understand healthcare procurement?

It understands conversations. A tender is a deal with a deadline and a questionnaire; a renewal is a deal with a date and a competitor. The model diagnoses those the same way it diagnoses any sale: from what was asked, what was answered and who went quiet. It will not tell you whether a device is reimbursable. It will tell you procurement is still waiting for the uptime figures.

Can we test it on last year's tenders first?

Yes. Import a set of deals whose outcome you already know as .eml files from a mailbox export, won and lost, and compare what Clossara says with what happened. That is the fastest honest pilot, and it needs no mailbox connection.

Who are you, and how big is Clossara?

A small team that builds and trains its own model. We would rather tell you that than pretend otherwise, and it is why the box exists: you should not have to trust a vendor's operations when you can keep the whole thing inside.
